Organize contacts with lists and segments

A list is an audience you add people to yourself, like a tab in a spreadsheet. A segment is a rule, and its members change on their own as contacts change. Use a list when you decide who belongs; use a segment when a condition should decide, such as engagement or a field value.

Create a list

  1. On Lists, select New list.
  2. Give it a name and, if you like, a description.
  3. Turn on Require double opt-in if new members should stay unconfirmed until they click a confirmation link, rather than being subscribed straight away.
  4. Select Create list.

Then add people to it in any of these ways:

  • Add contacts on the list page, and tick existing contacts who are not on it yet.
  • The New contact dialog on the same screen, for someone not in the workspace yet.
  • A CSV import that targets the list, for a bulk add.
  • A signup form that sends subscribers to the list.

Create a segment

  1. On Segments, select New segment and name it.
  2. Choose whether a contact must match ALL or ANY of the rules.
  3. Select Add condition and pick what to check: a text field, whether a field is set, a number, a date, subscription status, list membership, or campaign engagement.
  4. Choose an operator. Text fields offer equals and contains; numbers add greater than and less than; dates add before, after and relative windows such as “within the last 30 days”.
  5. Use Nested group to combine conditions, for example “(opened campaign A OR clicked campaign B) AND on list C”, up to three levels deep.

Conditions can use the standard contact fields (name, company, job title, location, status, source, consent and creation dates) and any custom field in your workspace. A plain-English Reads as line shows exactly what you have built, and a live count shows how many contacts match right now.

Save with Create segment, or Save and recalculate when editing. After saving, the member count takes a moment to refresh.

Send to a list or segment

You pick the audience on the campaign itself, on its Audience tab. Include any mix of lists and segments, and exclude others. A contact who appears in several is emailed once; anyone matching an exclusion is left out. See Create, schedule and send a campaign.

Lists and segments can also start an automation: “contact joins a list” and “contact enters a segment” are both triggers. See Build an automation.
